Calhoun Intermediate School District - website Administrative Assistant to the Assistant Superintendent of Human Resources GENERAL DESCRIPTION OF POSITION:
To assist and relieve the Assistant Superintendent for Finance and Human Resources and the Human Resource/Executive Office Coordinator and Payroll Coordinator with a variety of tasks to enhance the smooth and efficient operation of the office of the Assistant Superintendent.
ESSENTIAL DUTIES AND
Responsibilities:

Post vacancies to the online application system.
Prepare packets of applicants for department heads to determine those to be interviewed.
Assist in monitoring resumes/applications submitted on Application software program; make updates to Application software program as necessary.
Assemble New Employee materials for New Employee Orientation.
Prepare materials (print, assemble, etc.
) for meetings and programs as necessary/requested for the Assistant Superintendent of HR and/or other Cabinet level Administrators.
Assist with composing and preparing standard press releases, district newsletters, meeting minutes, and complex reports as requested.
Assist with monitoring the district's public presence within print and electronic media.
Assist with the maintenance of district digital media presence, including website and social media.
Assist with designing, writing, updating, and proofing various district publications and marketing materials for internal and external distribution, including brochures, flyers, booklets, and displays.
Monitor and review the organization's print and online communications to ensure accuracy, consistency, and compliance with district standards, guidelines, and policies.
Publicize and promote district events and activities to organizational stakeholders and the greater community, utilizing various print and online communication methods.
Receive and place phone calls and record messages.
Maintain a filing system and process incoming correspondence as instructed.
Assist in tracking the completion of mandatory training modules by employees.
Complete tasks that may be directed by Payroll Consultant and Human Resources/Executive Office Coordinator.
Maintain general information and knowledge of school district operations.
Keep records for assigned workshops, and invoice.
Responsible for conference room management.
Provide assistance to the Business Office as required.
Key contact for substitute placement software.
Process invoices for substitute placement services.
Process FOIA requests as requested.
Prepare fingerprint/sub requests for CISD approval and maintain fingerprint files as required by State statute.
Prepare packages sent to various committee members as assigned.
Open mail, order supplies.
Attend meetings as assigned/requested/required.
Keep Assistant Superintendent abreast of departmental issues, concerns and timelines.
Maintain regular consistent attendance and punctuality.
Maintain a professional personal appearance.
Adhere to district health and safety procedures.
Adhere to Board Policies.
Maintain confidentiality.
SUPERVISORY
Responsibilities:
May be asked to oversee a college/university intern from time to time.
EDUCATION and/or
Experience:
High School Graduate or equivalent.
3-5 years secretarial/office management experience preferred.
OTHER SKILLS and ABILITIES:
Must have excellent written and verbal communication, interpersonal and computer skills and the ability to create, compose, and edit professional, error-free documentation.
Experience and knowledge in PC/Windows-based applications and software including word processing and spreadsheet applications required.
Must have the ability to learn and utilize new software programs as systems are upgraded.
Typing/Keyboarding required with good grammatical spelling and punctuation.
Ability to establish and maintain effective working relationships with staff and the school community.
Ability to perform duties with awareness of all district requirements and Board of Education policies.
Ability to organize and follow through on multiple tasks.
Ability to apply knowledge of event planning and project coordination.

Complaint/Grievance Procedure Notice I.
Any person believing that the Calhoun Intermediate School District or any of the District's staff has inadequately applied the principles and/or regulations of non-discrimination laws or district non-discrimination policies may bring forward a complaint, which shall be referred to as a grievance to the district's Civil Rights Coordinator.

The person who believes s/he has a valid basis for grievance shall discuss the grievance informally and on a verbal basis with the District's Civil Rights Coordinator, who shall in turn investigate the complaint and reply with verbal answer to the complainant.
S/He may initiate formal procedures according to the following steps:
Step 1 A written statement of the grievance signed by the complainant shall be submitted to the District's Civil Rights Coordinator within five (5) business days of receipt of answers to the informal complaint.
The Coordinator shall further investigate the matters of grievance and reply in writing to the complainant within five (5) business days.
Step 2 If the complainant wishes to appeal the decision of the District's Civil Rights Coordinator, s/he may submit a signed statement of appeal to the Superintendent of Schools within five (5) business days after receipt of the Coordinator's response.
The Superintendent shall meet with all parties involved, formulate a conclusion and respond in writing to the complainant within ten (10) business days.
Step 3 If the complainant remains unsatisfied, s/he may appeal through a signed written statement to the Board of Education within five (5) business days of his/her receipt of the Superintendent's response in step two.
In an attempt to resolve the grievance, the Board of Education shall meet with the concerned parties and their representative within twenty (20) business days of the receipt of such an appeal.
A copy of the Board's disposition of the appeal shall be sent to each concerned party within ten (10) business days of this meeting.
The District's Coordinator, on request, will provide a copy of the District's grievance procedure and investigate all complaints in accordance with this procedure.
A copy of each of the Acts and the regulations on which this notice is based may be found in the District Coordinator's office.
